HR Manager

JOB PURPOSE:

Provide HR support to the Directors in order to enable them to maximise company growth through dynamic staff management and the development of an excellent company culture. Maintain complete employee documentation records and manage all HR processes so that they are in full compliance with all legislation relating to employment law and the principles of best practice in employee relations. Utilise fully the company HR System (SelectHR) ensuring it is kept updated, fully maintained and proactively improved.

KEY RESPONSIBILITIES: 

  • HR Contracts/Letters: Ensure all required documentation is sent to employees (current, future or past) in a timely manner and with a high level of accuracy
  • HR Documentation: Ensure all HR documentation including contract or letter templates, process and procedure documents andany other documentation related to HR or payroll is kept up to date (both master copies and the copies available to employees on the internal policy library) with any changes to employment law, company policy or other requested changes ensuring that documents remain brand compliant at all times.
  • Legal Document Requirements: Ensure any and all legal documents required by employees are up to date (e.g. car documents, evidence of right to work in the UK etc)
  • Payroll: Liaise with Payrollto ensure commission schemes, debts, repayment plans and any deductions areaccurately entered into the Payroll system and correct documentation is sent out to employees.
  • Employee Relations: Ensure all Employee Relations cases are recorded in SelectHR and managed through to completion with any required action/letters taken at the right time. Work closely with the Directors to undertake investigations/formal hearings etc, act as note-taker, compile investigation packs and assist in drafting intermediary and outcome letters. Liaise with the company’s 3rd party legal advisors to ensure any actions taken are consistent and in line with their advice.
  • SelectHR Employee Management System: Fully run SelectHR, the HR people management software ensuring all data is up to date and all processes are run through the system. Maintain and develop (via the IT Department) for operational, compliance and employee benefit to ensure it is maximised as a resource and works effectively and efficiently to support the HR team, employees and directors.
  • Email Inbox Administration: Ensure you and the HR team manage both personal inboxes and team inboxes for the company and Life FS effectively following the company clear inbox policy, responding to all queries within service standard and escalating issues as required.
  • Sickness: Ensure all absences are entered correctly within SelectHR and using the Bradford Factor method ensure employees are managed accordingly. Liaise with Payroll to ensure correct records are passed over. Flag excess sickness to the directors and ensure any relevant sickness issues are referred to the company H&S Officer for formal review.
  • Company Profile: Ensure the HR Team is run so that it is efficient, responsive, credible and welcoming to all employees and works smoothly with senior management and the directors.
  • Benefits: Ensure all company benefit schemes are managed and maintained and also that you proactively ensure we are getting the best deal from any 3rd party suppliers for the benefit of our staff. Propose changes to the benefits schemes as appropriate to ensure we are offering a competitive package and providing benefits that are of best use to our employees
  • Parental Leave: Manage all parental leave requests/absences in line with company policy and using SelectHR and ensure all absences are correctly documented
  • Probations: Manage the company probation process, booking meetings, carrying out stats checks and following up on meetings ensuring documentation is uploaded into SelectHR by the relevant Area Manager. Produce regular reports for the benefit of the Directors and proactively monitor and flag any issues. Ensure probationary sign off meetings are booked promptly and outcomes delivered within SLAs
  • Performance Reviews: Ensure that managers and Area Managers are carrying out performance management of their employees through analysing the details loaded on SelectHR. Produce reports to demonstrate to the directors that all employees are receiving regular performance reviews and to flag any concerns.
  • Training: Liaise with the Training Manager and ensure training courses are booked, fully attended and any required packs produced. Regularly monitor the list of attendees due to attend training to ensure all employees attend each course required for their job role in a timely manner.
  • Qualifications: Ensure that all employees that are required to hold an industry qualification are supported through the training/exams for the relevant qualification as quickly as possible as well as other employees who wish to complete a company supported qualification. Ensure that the members list is checked each year when the annual invoice is paid to ensure this is accurate. Ensure all members complete any necessary CPD each year as dictated by the qualification body.
  • Apprenticeship Scheme: Liaise with Recruitment and the Training Manager in running the company’s apprenticeship scheme and ensure appropriate paperwork is completed in a timely manner and company support is offered through the apprenticeship to ensure a successful conclusion
  • Project Work: Undertake project work as required and directed by the Managing Director ensuring that you proactively drive projects forward and report back regularly. Keep abreast of changes in employment law and where needed, advise what projects need to occur and your plan to complete it successfully.
  • Company HR Requirements: Ensure the Gender Pay Gap Report is completed and publicised each year.
  • General Head Office: Work as part of a Head Office team being flexible where needed to cover phone duties, meet and greet and assist with any other event or large Head Office projects where your input would be valuable
  • Overall HR and Payroll Department Performance: Ensure the HR and Payroll team are delivering on all SLAs, demonstrated through regular reports and meetings with the Managing Director. Where any work is behind schedule, ensure you are transparent with this and communicate with the Managing Director so that extra resource can be provided or priorities can be changed. Ensure all HR actions are completed discreetly and you treat all issues with complete confidentiality. Ensure all communications from the department are correct and appropriate. Take responsibility for ensuring that the department runs smoothly, legally and has a credible reputation throughout the business

SKILLS AND EXPERIENCES REQUIRED FOR THE SUCCESSFUL CANDIDATE

  • Extremely high attention to detail and accuracy of work
  • Knowledge and expertise in HR matters
  • Experience in undertaking investigations and hearings in accordance with company procedures
  • Experience in writing detailed and accurate employment letters
  • Experience in actively managing a HR database with employee access and interaction (SelectHR experience is preferable)
  • Team management experience to support and develop a positive team culture with high standards of accuracy
  • Able to consistently run a busy workload, streamlining procedures as you go to ensure a highly efficient and quick working team
  • Able to prioritise a high number of urgent tasks and delegate as required
  • Proactive and positive attitude to the role
  • Able to deal with difficult situations and adapt approach as appropriate
  • Ideally experience in working in a HR Department that supports in excess of 500 employees

Monday to Friday

Salary:

£35,000 to £40,000
