The Operations Executive is the liaison between Sales and Operations at Head Office. Operations Executives must communicate with centre about group and student specific information to ensure the smooth running of the centre operations.
This role is suitable for a graduate or someone who has 6+ months of administration experience
This role is based in the outskirts of Maidenhead
You must be available from May – August 2022
Your main responsibilities as an Operations Executive:
- Be the main point of contact between the host centre management and Head Office
- Ensure that communication channels are open between Head Office, agents and Centre Management staff
- Liaise with members of the Sales Team to obtain all necessary information about students and groups
- Assist the Operations Director and/or Finance Department with confirming correct invoices
- Book airport transfers and coaches for excursions
- Book excursion destinations, museums, and sports facilities (for English + Sport students)
- Update Confirmation Sheets and monitor bookings
- Update the Master List with all student and Group Leader information for each centre
- Communicate any special requests to the host staff and the Management Team at each centre
- Deal with issues from agents/host centres with the assistance of the Operations Director and Operations Manager
- Help Centre Management staff with any extra excursions that may be requested
- Maintain continuous communication with agents and individuals
- Maintain a rigid archiving procedure and ensure all documentation is received from each host centre
- Responsible for cross checking invoices, final numbers and bedding lists
- Working additional weekend shifts including Office and Airport
- Ensure that communication channels are open between Head Office, agents and Centre Management staff
- Report to the Operations Manager to ensure the smooth running of the centre including excursions, transfers, sport academies and special requirements
- Report any safeguarding allegations or concerns to the Designated Safeguarding Lead immediately
Desired Criteria as an Operations Executive:
- Previous summer school experience
- Local knowledge of centre locations
- Administration qualification

- GCSE Mathematics minimum Grade C

Key facts regarding the Operations Executive role:
- You report to Operations Director and Operations Manager
- You must be available from May – August 2022
- 42 hours per week. (Some weeks you may be required to work in excess of 48 hours. You will therefore be asked to ‘opt out’ of the 48-hour Working Time Directive)
- Evening and weekend work required on a rota basis in July
