Receptionist/Admin Assistant 9 month contract starting January!

Lovely role based in Wokingham (9 month contract maternity leave)

The position starts in January and is based in Wokingham working from 0830 to 1630 or 0900 to 1700

Job purpose: Responsible for front line reception duties (answering phone and welcoming visitors). Plus assisting and supporting all departments within the company with various administrative functions.

 

  • Maintaining a clean and pleasant reception area and welcoming guest/visitors on arrival.

 

  • Take ownership of the guest/visitor until passed to member of staff hosting visit. Issuing of visitor passes and advising guest/visitor of H&S brief.

 

  • Taking ownership of all incoming calls and passing them politely and efficiently to the requested person or taking a message if requested.

 

  • Ordering of stationery and maintaining the stationery stocks for all departments.

 

  • Receipt and distribution of incoming mail to all departments. Collection and despatching of mail including special delivery options.

 

  • Updating computerised documents for all departments.

 

  • Sending out supplier questionnaires and entering preferred supplier information onto the computer system.

 

  • Sending out certificates of conformity for relevant despatched orders.

 

  • Creating purchase orders for various departments (Marketing, IT, Maintenance, Subcontract etc)

 

  • Assisting in recruitment campaigns and responding to applicants using a variation of communication methods.

 

  • All office administrative tasks including Filing, faxing, photocopying and scanning as required.
